We are searching for a highly motivated and detail-oriented administrator to join our growing international team. In this role, you will play a pivotal role in supporting the day-to-day operations of our global team, ensuring smooth workflow and efficiency. 

  • Providing comprehensive administrative support to the global team and member-led industry association, including organizing events and meetings, managing travel schedules and arrangements, maintaining calendars and internal meetings and other logistical tasks. 
  • Managing the Customer Relationship Management membership database, ensuring accurate and up to date records and internal capacity building and processes. Experience with using HubSpot or other CRMs would be an advantage. 
  • Overseeing the membership journey, onboarding process, allocation of account management and finance. 
  • Overseeing global team logistics, support in PowerPoint presentation design, reports, and other documents with a high degree of accuracy and professionalism. 
  • Taking accurate and detailed meeting minutes. 
  • Servicing the Board of Directors, Executive Committee and Strategy Committee of the orgnanisation (agendas, slides, minutes and procedures). 
  • Supporting with event planning and organisation. Development and implementation of event partnerships, organization of webinars and physical events. 
  • Supporting preparation for and participation in major events such as COPs and major solar PV trade exhibitions such as SNEC Shanghai and Intersolar Europe. 
  • Project management. 
  • Minimum of 3-5 years of experience in a similar administrative or executive assistant role. 
  • Proven proficiency in Microsoft Office Suite (Word, Excel, PowerPoint and Outlook). 
  • A team player who works well with others. 
  • Excellent organizational skills with a strong ability to prioritize tasks and manage deadlines effectively. 
  • Can-do attitude and self-starter who can work independently. 
  • Fluency in English (native or equivalent), other languages including Mandarin Chinese will be considered an asset. 
  • A service provider contract; 
  • Flexible working hours; 
  • Full time role (with part time or other models such as job shares considered); 
  • Remote working from anywhere in the world, must have right to work in your chosen country; Delhi, London, Warsaw, Shanghai, Singapore, Sao Paolo or other major hubs for international business would be desirable but not essential. 
  • Attractive salary dependent on location and experience.
